CANCELLATIONS AND REFUNDS POLICY

This Cancellations and Refunds Policy forms part of the Terms & Conditions published on theplanetwonk.com. By submitting a booking request, you agree to this Policy.


1. BOOKINGS ARE REQUESTS

1.1 All bookings submitted through theplanetwonk.com are requests only. A booking is not confirmed until Planetwonk sends written confirmation by email.

1.2 No charge is made and no contract is formed until a booking is confirmed in writing by Planetwonk.

1.3 If Planetwonk declines a booking request, no charge will be made.


2. CANCELLATION BY THE PARTICIPANT

2.1 If you wish to cancel a confirmed booking, you must notify Planetwonk in writing by email to info@theplanetwonk.com as soon as possible.

2.2 The following cancellation terms apply:

Notice given before the scheduled start time Refund
More than 24 hours Full refund of any amount paid
24 hours or less No refund
No-show (no notice given) No refund

2.3 The notice period is calculated from the time Planetwonk receives your written cancellation request to the scheduled start time of the walk or experience.

2.4 Refunds, where applicable, will be issued by the same payment method used for the original payment, within 14 calendar days of the cancellation being confirmed by Planetwonk.


3. RESCHEDULING BY THE PARTICIPANT

3.1 You may request to reschedule a confirmed booking by contacting info@theplanetwonk.com in writing.

3.2 Rescheduling requests made more than 24 hours before the scheduled start time will be accommodated where possible at no additional charge, subject to availability.

3.3 Rescheduling requests made 24 hours or less before the scheduled start time are entirely at Planetwonk’s discretion. Planetwonk may accept or decline such requests without obligation to provide reasons. If the request is declined, the booking is treated as a cancellation under clause 2.2 and no refund will be issued.

3.4 Each booking may be rescheduled a maximum of one time. A second rescheduling request will be treated as a cancellation under clause 2.2.

3.5 Rescheduling is subject to availability and does not guarantee the same host, meeting point, or group composition.


4. CANCELLATION BY PLANETWONK

4.1 Planetwonk reserves the right to cancel any walk or experience at any time for any reason, including but not limited to: insufficient participant numbers, host unavailability, safety concerns, or circumstances beyond Planetwonk’s reasonable control.

4.2 If Planetwonk cancels a confirmed booking, you will receive a full refund of any amount paid. Planetwonk will also endeavour to offer an alternative date where possible.

4.3 Beyond the full refund set out in clause 4.2, Planetwonk shall have no further liability to you in connection with a cancellation made by Planetwonk, subject to any rights that cannot be excluded under applicable mandatory consumer protection law.


5. CANCELLATION DUE TO EXTRAORDINARY CIRCUMSTANCES

5.1 “Extraordinary Circumstances” means events beyond Planetwonk’s reasonable control that make it impossible, unsafe, or impractical to deliver a walk or experience as planned, including but not limited to: natural disasters, extreme weather, pandemics, epidemic outbreaks, government action or restriction, official travel advisories, civil unrest, protests, riots, military action, strikes, industrial action, power failures, or venue or location closures.

5.2 Where a walk or experience is cancelled due to Extraordinary Circumstances, Planetwonk will offer one of the following at its discretion:

  • A full refund of any amount paid; or

  • A credit note or rescheduled date of equivalent value, valid for 12 months from the date of issue.

5.3 Planetwonk shall not be liable for any additional costs, losses, expenses, or damages incurred by the Participant as a result of a cancellation due to Extraordinary Circumstances, including but not limited to travel costs, accommodation costs, or consequential losses.


6. LATE ARRIVAL AND NO-SHOWS

6.1 Participants are responsible for arriving at the correct meeting point at the correct time.

6.2 Planetwonk and Hosts are under no obligation to wait beyond the scheduled start time for late arrivals.

6.3 If a Participant arrives late and misses the start of the walk, no refund will be issued and no rescheduling obligation arises.

6.4 If a Participant does not attend and has not notified Planetwonk in advance, this will be treated as a no-show and no refund will be issued.


7. REMOVAL DURING A WALK

7.1 If a Participant is removed from a walk or experience during its course under clause 11 of the Terms & Conditions (conduct and removal), no refund will be issued for any portion of the walk or experience not completed.


8. GROUP BOOKINGS

8.1 For group bookings of 5 or more participants, different cancellation terms may apply. These will be communicated to you at the time of booking confirmation and will take precedence over the standard terms in clause 2.2.

8.2 Partial cancellations within a group booking (i.e. some but not all participants cancelling) will be assessed on a case-by-case basis. Contact info@theplanetwonk.com as soon as possible.


9. PAYMENT DISPUTES AND CHARGEBACKS

9.1 If you have a concern about a charge, please contact Planetwonk directly at info@theplanetwonk.com before initiating any chargeback or payment dispute with your bank or card provider.

9.2 Planetwonk will endeavour to resolve any payment concern within 14 calendar days of receiving your written complaint.

9.3 Initiating a chargeback without first contacting Planetwonk may result in the suspension of your ability to make future bookings through theplanetwonk.com.


10. LIMITATION OF LIABILITY FOR CANCELLATIONS

10.1 In all cases of cancellation, whether by the Participant or by Planetwonk, Planetwonk’s maximum liability shall not exceed the total amount paid by the Participant for the specific booking in question.

10.2 Planetwonk shall not be liable for any indirect, consequential, or incidental costs arising from a cancellation, including but not limited to travel expenses, accommodation costs, visa costs, or any other third-party expenditure.

10.3 Nothing in this Policy excludes or limits any right that cannot lawfully be excluded or limited under the mandatory consumer protection laws of the country in which the Participant is habitually resident.

Please include your full name, booking reference or date of booking, and the date of the walk or experience in your message.

Planetwonk will acknowledge all written requests within 5 calendar days.
